“Terms & Conditions” make this sound like some pretty scary stuff that we should take really, really seriously.

But in reality, they just help you understand what we mean when we talk about stuff around One More Lap. Hidden behind the veil of legalese.

But in in all seriousness, there are a few things that you need to pay attention to – like section 7 - the fundraising stuff - and section 8 - the stuff about cancelling the event.

Ooh, actually, one last thing, these terms were last updated on 19th November 2025.

1. Introduction

1.1 These terms and conditions (“Terms”) apply to your entry into and participation in any One More Lap ultramarathon event (each an “Event”).

1.2 Each Event is organised by 50by50 CIC (“we”, “us”, “our”), a Community Interest Company registered in England and Wales, with company number 16393695 and with registered address 71 Rotten Row, Lichfield, Staffordshire, WS13 6JB. “One More Lap” is the event name used by 50by50 CIC.

1.3 By completing a team entry for an Event, the team captain agrees to these Terms on their own behalf and on behalf of their team. By taking part in the Event, each team member also agrees to comply with these Terms.

1.4 These Terms sit alongside any practical Event information we publish (for example on the Event web page, entry system, pre‑event emails or on‑the‑day briefings). If there is any conflict, these Terms take priority.

2. Event format

2.1 Each Event is a team ultramarathon, designed as a 12‑hour “lap” event, usually running from 08:00 to 20:00 local time on the Event date (“Event Day”). Exact timings, venue and route details for each Event will be confirmed in the Event information for that location.

2.2 Teams complete as many laps as they choose within the Event time window. One More Lap is a fundraising challenge, not an elite race. We may record laps and times for interest and results, but the focus is on participation, teamwork and fundraising.

2.3 We may make reasonable changes to the Event format (for example, altering the route, start time, finish time or lap distance) for safety, operational or venue reasons. We will aim to give you as much notice as reasonably possible.

3. Who can take part

3.1 Teams must consist of between 4 and 6 registered runners, unless we clearly state otherwise for a particular Event.

3.2 The person who creates the team entry is the “team captain”. The team captain:

(a) acts as the primary contact with us;

(b) is responsible for ensuring that all team members receive Event information and comply with these Terms; and

(c) confirms that all information provided for the team (including names, ages, contact details and medical information) is accurate to the best of their knowledge.

3.3 The standard minimum age to take part is 18 on Event Day, subject to the additional under‑18 provisions in section 4.

3.4 We may refuse or cancel an entry, or remove a participant from the Event, if any information provided is misleading or incomplete in a material way.

4. Under‑18 participants

4.1 One More Lap is primarily an adult event. However, young people aged 12–17 may take part in some Events under the conditions in this section. If we do not offer under‑18 places for a particular Event, that will be made clear in the Event information.

4.2 Age limits for participation are:

(a) under 12 on Event Day – not permitted to run in the Event;

(b) 12–15 on Event Day – may take part in the Event but must not run more than 10 miles (approximately 12km) in total during the Event;

(c) 16–17 on Event Day – may take part in the Event but must not run more than 13.1 miles (a half marathon) in total during the Event.

4.3 Each team that includes one or more under‑18s must have at least one adult (18 or over) who agrees to be the responsible adult for those young people. The responsible adult must:

(a) be named on the entry system;

(b) be on site for the duration of each young person’s participation; and

(c) ensure that the young person follows all safety instructions and distance limits.

4.4 A parent or legal guardian must complete and sign the consent and waiver for each participant aged 12–17 before they can take part, even where another adult is accompanying them on Event Day.

4.5 By signing the consent, the parent or guardian confirms that they:

(a) understand these Terms and accept them on behalf of the young person;

(b) consider the young person fit and able to take part; and

(c) understand and accept the mileage limits in clause 4.2.

4.6 We may, at our discretion, refuse participation or stop a young person from running further if we believe that continuing would be unsafe or would breach the distance limits.

5. Health, fitness and medical information

5.1 Taking part in any running event carries risk of injury or illness. You acknowledge that the Event involves sustained physical activity and may take place on uneven ground and in variable weather conditions.

5.2 By entering or taking part in the Event, each participant confirms that they:

(a) are physically fit and able to take part;

(b) have considered any pre‑existing medical conditions and, where appropriate, have discussed participation with a medical professional; and

(c) will not take part if they are feeling unwell on Event Day.

5.3 You agree to tell us about any relevant medical conditions, allergies or other information that may affect your safe participation or require a response in an emergency. We provide a field for this information on the entry form.

5.4 We will share relevant medical information you provide with our medical team and key Event staff, but only to the extent necessary to keep you safe at the Event.

5.5 We will provide reasonable first aid and medical support at the Event but we cannot eliminate all risk. You take part at your own risk, while we do everything we reasonably can to provide a safe and well‑run Event.

5.6 The Event Director and Event medical lead have the right, in their reasonable opinion, to:

(a) refuse to allow you to start the Event; or

(b) require you to stop running or withdraw from the Event;

if they believe that continuing would be unsafe for you or for others.

6. Entries, teams and changes

6.1 There is no entry fee for the Event. Entry is free, and your commitment is to fundraise for the Event’s nominated charity as set out in section 7.

6.2 You must complete all required fields on the entry system honestly and in full. We may reject incomplete entries.

6.3 Team captains may make changes to team members up to and including Event Day, using the online entry system where available or by contacting us if not.

6.4 If you make late changes, your updated team list may not be reflected in printed or pre‑prepared materials (such as bib labels or information packs). This does not affect the validity of the entry, provided the replacement runner has agreed to these Terms and provided the required information.

6.5 If you or your team decide not to take part, please tell us as soon as you can so that we can plan safely and efficiently. There are no penalties if you withdraw, but your fundraising arrangements with the charity may still apply (see section 7).

7. Fundraising and donations

7.1 One More Lap Events are 100% not‑for‑profit and exist to raise funds for a nominated charity for each Event (“Event Charity”).

7.2 For each Event we will clearly state:

(a) the Event Charity;

(b) the minimum fundraising commitment per runner for that Event; and

(c) the fundraising platform to be used (for example a third‑party platform operated by or on behalf of the Event Charity).

7.3 The minimum fundraising commitment is expressed on a per‑runner basis but is treated as a team commitment. As long as the team collectively meets or exceeds the team total (number of runners multiplied by the per‑runner commitment), it does not matter how that amount is split between individual runners.

7.4 There is no entry fee. However, by entering the Event you and your team agree that you are taking part in order to raise money for the Event Charity. We strongly encourage you to aim for at least the stated minimum fundraising commitment, and to raise as much as you reasonably can.

7.5 If your team does not meet the minimum fundraising commitment, you are still welcome to take part, but we may encourage you to “top up” your fundraising personally if you are able to.

7.6 All fundraising for the Event must be directed through the official fundraising platform and pages for the Event Charity, as described in the Event information. This helps ensure that donations go directly to the charity and that Gift Aid can be claimed where appropriate.

7.7 Donations are made directly to the Event Charity via its chosen platform. 50by50 CIC does not hold or process donations on its own account.

7.8 Any questions about donations, tax relief or Gift Aid, or any requests for a donation refund, must be directed to the Event Charity and/or the fundraising platform in line with their policies. Where appropriate, we will help signpost you to the right contact.

8. Event changes and cancellation

8.1 We will always do our best to deliver each Event as advertised. However, we may need to make changes for reasons including (but not limited to) safety concerns, extreme weather, public health considerations, venue or route issues, or other factors beyond our reasonable control.

8.2 We may, at our discretion, shorten the Event, pause the Event, adjust the route, change the start or finish time, or otherwise adapt the format where we believe this is necessary or sensible.

8.3 If we have to cancel an Event, we will aim to give you as much notice as reasonably possible and may, where practical, offer an alternative date or suggest a future Event you can transfer to. However, we are not obliged to provide an alternative Event or to compensate you for any costs you may have incurred.

8.4 Because there is no entry fee, we are not able to refund entry payments (there are none). Fundraising remains with the Event Charity in line with its policies. We are not responsible for refunding donations or any associated fees.

8.5 We are not responsible for any costs you incur in relation to the Event, such as travel, accommodation, equipment or insurance, even if the Event is changed, shortened, postponed or cancelled.

9. Behaviour, safety and rules on the day

9.1 We want One More Lap to be safe, welcoming and enjoyable for everyone. You agree to:

(a) follow all instructions given by Event staff, marshals and medical teams;

(b) be respectful to other participants, volunteers, staff, spectators and venue staff; and

(c) use the route, facilities and venue considerately and safely.

9.2 We will not tolerate aggressive, abusive, discriminatory or antisocial behaviour. We may refuse entry to, or remove from the Event, any participant or team whose behaviour, in our reasonable opinion, causes risk, offence or disruption.

9.3 You must not take part in the Event while under the influence of alcohol or illegal drugs. If there is alcohol on site (for example at a bar for spectators or for post‑Event celebrations), you must not consume alcohol while you are still participating in the Event.

9.4 You agree to run within your abilities, to take reasonable care for your own safety and that of others, and to alert Event staff if you or another participant appear unwell, injured or in difficulty.

9.5 We may, at our discretion, remove a participant from the course or require a team to stop running if we believe that continuing would be unsafe or would unreasonably disrupt the Event.

10. Dogs, headphones and mobility aids

10.1 Headphones are permitted, but you remain responsible for being aware of your surroundings and able to hear instructions from Event staff and other participants.

10.2 Dogs are allowed on the course subject to the following conditions (similar to parkrun rules):

(a) one dog per runner;

(b) dogs must be on a short, handheld lead at all times;

(c) dogs must be under control and must not cause a trip hazard or nuisance to other participants or spectators; and

(d) you are responsible for cleaning up after your dog and for any damage or injury caused by your dog.

10.3 Buggies, wheelchairs and other mobility aids are welcome where the route and conditions are suitable. If you are unsure, please contact us in advance so that we can discuss the specific Event and any adjustments needed.

10.4 We may, for safety reasons, adjust or restrict the use of dogs, buggies, wheelchairs or other equipment for a particular Event or section of the course, for example due to terrain or weather.

11. Personal property, parking and insurance

11.1 You are responsible for your own personal belongings at the Event, including any items you leave in bags, tents or vehicles.

11.2 We are not responsible for loss of, or damage to, your personal property unless this is caused by our negligence. This includes items such as phones, watches, clothing, bags and other personal effects.

11.3 If baggage or storage areas are provided, they are used at your own risk. We recommend that you do not bring unnecessary valuables to the Event.

11.4 Parking at or near the Event venue is at your own risk. We are not responsible for loss of, or damage to, vehicles or their contents. Please do not leave valuables in vehicles.

11.5 We hold appropriate public liability insurance for the Event. However, we do not provide personal accident, travel or income protection insurance for participants. You may wish to arrange your own insurance to cover your participation, travel and any equipment.

12. Photography, video and media

12.1 We normally have official photographers and/or videographers at each Event, and other participants and spectators may also take photos and video.

12.2 By taking part in the Event, you understand that you may be photographed or filmed in the background or foreground of Event images.

12.3 We may use Event photos and video that include you (and, where appropriate, under‑18s who have the necessary consent) for legitimate purposes connected with One More Lap and the Event Charity, including:

(a) on One More Lap and 50by50 CIC websites;

(b) on social media channels;

(c) in printed materials such as posters, flyers and banners;

(d) in press and media coverage and PR; and

(e) in reports, fundraising materials and impact stories for the Event Charity and our work.

12.4 We may share images with Event partners, including the Event Charity and key sponsors, but only for use in connection with the Event, One More Lap and related charitable or community work.

12.5 If you do not want to appear in Event photos or video in a way that identifies you, you must tell us before the Event using the contact details in section 16. We will take reasonable steps to respect your wishes, but we cannot guarantee that you will never appear incidentally in wide shots or crowds.

13. Data protection and privacy

13.1 We will collect and use personal data about you (such as your name, contact details, date of birth, emergency contact information and any medical information you provide) so that we can:

(a) set up and manage your entry and team;

(b) run the Event safely;

(c) communicate with you before, during and after the Event; and

(d) support your fundraising for the Event Charity.

13.2 We normally process entries and fundraising through third‑party platforms (for example, online entry systems and fundraising platforms). Those platforms process your data in line with their own terms and privacy notices.

13.3 We will share your data where reasonably necessary to deliver the Event and its charitable purpose, including with:

(a) the Event Charity, so that it can support your fundraising and process donations and Gift Aid;

(b) our medical providers, where relevant to your safe participation; and

(c) our core suppliers, such as timing, entry system and email providers.

13.4 We handle your personal data in line with our Privacy Notice, which explains what we collect, why we use it, how long we keep it and your rights. You can read it at: https://onemorelap.co.uk/privacy

13.5 By entering the Event, you agree that we may contact you with essential information about the Event. You can choose separately whether to hear from us about future Events and news.

14. Our responsibility to you (liability)

14.1 Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation, or for any other matter where it would be unlawful to limit or exclude liability.

14.2 We are responsible to you for loss or damage you suffer that is a foreseeable result of us breaching these Terms or failing to use reasonable care and skill in organising the Event. Loss or damage is foreseeable if it is obvious that it will happen or if, at the time you entered the Event, both we and you knew it might happen.

14.3 We are not responsible for:

(a) any loss or damage that is not foreseeable;

(b) any loss of income, salary, profits or savings;

(c) any travel, accommodation, subsistence, equipment or other costs you incur in relation to the Event; or

(d) any loss or damage to your personal property, except where this is caused by our negligence.

14.4 We are not responsible for any failure to comply with these Terms, or for any delay or change to the Event, where this is caused by events or circumstances beyond our reasonable control (including, for example, extreme weather, national emergencies, public health measures, restrictions imposed by authorities, or serious incidents affecting the venue or route).

15. Complaints and contact

15.1 If you have any questions, concerns or complaints about the Event, please contact us and we will do our best to resolve things fairly and promptly.

16. Changes to these Terms

16.1 We may update these Terms from time to time. The version that applies to you is the version in force at the time you complete your team’s entry for the relevant Event.

16.2 We will normally make the current version of these Terms available via the Event entry page or our website. If we make significant changes after you have entered, we will aim to draw these to your attention.

 

17. Prizes

17.1 From time to time we may offer prizes in connection with an Event. The availability and nature of any prizes will be confirmed in the Event information. Prizes are set by the organising committee for each Event and may vary between Events.

17.2 Unless we state otherwise, prizes are open to all teams officially registered for that Event. A team can win more than one prize.

17.3 Prizes are generally non-cash (for example trophies, merchandise or items provided by sponsors). Unless we clearly say otherwise, prizes are non-exchangeable, non-transferable and no cash alternative is offered.

17.4 If a prize is provided by a partner or sponsor, it may be subject to that partner’s own additional terms and conditions. Where there is any conflict between those and these Terms in relation to the prize itself, the partner’s terms will normally take priority for the nature and fulfilment of the prize.

17.5 The organisers’ and judges’ decisions about prize eligibility, winners and the interpretation of these prize rules are final. We do not enter into correspondence about the outcome.

Most Money Raised by a Team

17.6 The “Most Money Raised by a Team” prize is awarded to the team that has raised the highest amount per runner for the Event Charity by 12:00 (midday) on Event Day.

17.7 For the purposes of this prize:

(a) each team’s fundraising total is the amount shown on the official Event fundraising platform(s) for that team or its members at 12:00 on Event Day;

(b) both online and offline donations can count towards the total, but any offline amounts must have been added to the relevant online fundraising page(s) by 12:00 on Event Day;

(c) all amounts are treated in pounds sterling (GBP) and any rounding is as applied by the fundraising platform; and

(d) the per-runner amount is calculated as the total team fundraising divided by the number of registered runners in that team.

17.8 The number of registered runners in a team is the team size recorded on the entry system for that Event (normally 4, 5 or 6). If a team wishes to change its size outside of the standard options, this must be agreed with the organisers in advance and updated in the entry system.

17.9 If two or more teams are tied on the same per-runner fundraising amount at 12:00 on Event Day (after applying any rounding by the fundraising platform), the winner will be decided by a single round of “rock, paper, scissors” between the team captains of the tied teams. The outcome of that round, as determined by the organisers, will decide the winning team.

Best Dressed Gazebo

17.10 The “Best Dressed Gazebo” prize is awarded to the team whose Event base (for example their gazebo, tent or similar setup) is judged to be the best decorated for that Event.

17.11 To be eligible, a team must have a clearly identifiable Event base at the venue on Event Day. We may ask teams to display their team name so that we can identify them.

17.12 The winner of the “Best Dressed Gazebo” prize will be selected by a representative of the Event Charity (or another judge nominated by us). The choice is entirely at the judge’s discretion, based on factors such as creativity, effort, theme and overall feel. There is no points system and no obligation to provide feedback on the decision.

Most Laps Completed

17.13 The “Most Laps Completed” prize is awarded to the team that completes the highest total number of laps during the Event.

17.14 For the purposes of this prize:

(a) only complete laps count – there is no credit for partial or unfinished laps;

(b) a lap counts if it is fully completed and recorded by our official lap-counting process;

(c) laps are counted manually by our team of lap counters and their records form the official result; and

(d) a final lap will be included in the team’s total if it was started before the official Event end time (normally 20:00), even if it is finished shortly after, provided this is within any cut-off communicated by the organisers on the day.

17.15 If two or more teams complete the same highest number of laps, we may either:

(a) recognise joint winners; or

(b) select a single winning team based on reasonable tie-break criteria (for example, which team reached the lap total first), as decided by the organisers. The organisers’ decision will be final.

18. Governing law

18.1 These Terms, and your participation in the Event, are governed by the laws of England and Wales.
